Job Description

St. Susanna, Plainfield is seeking a full-time Parish Office administrator. This position will serve as a staff resource in support of the Pastor, fulfilling parish administrative needs in finance, human resource administration and payroll.

Essential duties and responsibilities include:

  • Manage the business, administrative, HR and financial affairs in conjunction with other parish and school staff as necessary
  • Prepare Bi-weekly payroll, implement salary changes, maintain employee records, process new hires and manage the recording of employee absences
  • Ensure compliance with Archdiocesan policies and procedures
  • Provide education and guidance to employees as necessary
  • Maintain accurate filing, record-keeping and reporting systems for all parish financial matters
  • Record electronic income and expenses, process and reconcile bank statements
  • Prepare monthly and year end reports for the parish and Archdiocese
  • Monitor the collection, counting, recording and depositing of parish revenue from all sources
  • Prepare, administer and review the budget process in collaboration with the Finance Committee, Pastor and other committees
  • Support Parish Secretary in managing capital campaign funds when necessary
  • Serve as a resource to the parish organizations for their financial matters
  • Serve as a point of contact with the Archdiocese
  • Prepare gaming licenses and ensure compliance with the IN Gaming Commission
  • Attend staff meetings, Parish Council and Archdiocesan meetings as appropriate
  • Act as a liaison to the Finance Commission

The position requires knowledge of accounting, information technology specifically Excel, knowledge of general ledger and knowledge of payroll software programs. Qualifications include a degree in business, management or public administration, a background in accounting/bookkeeping with a minimum of 5 years’ experience, experience as a first-line manager in a small to medium company, Catholic school, parish or similar organization.
