Job Description

Summary of Position:  Under the general direction of the Director of Financial Aid, the Assistant Director of Financial Aid will work closely with the Director of Financial Aid in the administration of Thomas Aquinas College’s student financial aid program. This will involve (a) calculating and administering the equitable distribution of financial aid resources to students, (b) communicating with parents and students to clarify application information and to answer questions, and (c) completing reports for offices within the College and for agencies external to the College.

Essential duties and responsibilities:

  1. Review financial aid applications, forms and documentation for completeness and accuracy
  2. Verify information reported on the FAFSA to determine eligibility
  3. Talk to parents and students to clarify application information and answer questions they may have
  4. Perform need analysis calculations
  5. Prepare financial aid packages for mailing
  6. Ensure complete and accurate files and paperwork
  7. Complete various financial aid reports such as IPEDS, Common Data Set, college surveys, etc. (This requires extracting data from our financial aid management system, sorting the data in spreadsheets and joining multiple spreadsheets using common data fields.)
  8. Prepare and deliver various disclosures to students during the school year
  9. Maintain forms and web pages for the Financial Aid Office
  10. Update the office’s Policy and Procedure manual as needed
  11. Remain current on all applicable laws and regulations
  12. Attend financial aid workshops and conferences
  13. Filing, copying, answering phones
  14. Other duties as assigned

Required Qualifications:

  1. Experienced with Microsoft Word and Excel
  2. Able to communicate effectively verbally and in writing
  3. Detail oriented; consistently produce work that is accurate
  4. Able to manage sensitive, confidential information
  5. Able and willing to learn new systems/processes
  6. Enjoys problem solving (computer software, regulations, logistics)
  7. Strong organizational and time management skills
  8. Good moral ethics
  9. Good work ethic
  10. Positive attitude; kind and courteous; able to work effectively as a team member
  11. Commitment to exceptional customer service
  12. Bachelor's degree or equivalent experience

Preferred Qualifications:

  1. Commitment to the importance of Catholic liberal education
  2. Knowledge of basic tax law, e.g., IRS Publication 17 (Tax Guide for Individuals)
  3. Knowledge of basic accounting
  4. Prior experience working in a financial aid office
  5. Experienced with PowerFAIDS financial aid management software
  6. Knowledge of government regulations relating to financial aid and Title IV funds
  7. Experienced with Microsoft Outlook
  8. Experienced with Foxit PhantomPDF (creating fillable forms)
