Position Reports to:  Dean of School of Natural and Applied Science

Department:  Academic Affairs

FLSA Status:  Non-exempt

Hours:  Monday-Friday, 7:30 a.m. – 3:30 p.m.

The Secretary for the School of Natural and Applied Science will provide support for the School, including the school leader and faculty, instructors and staff in Cosmas and Damian Hall, as well as for committees and programs such as the Institutional Review Board (IRB) and the Franciscan Institute for Science and Health (FISH). This position will respond to inquiries from students, parents, and visitors; and manage daily operations of the administrative support office including mail, phone calls and photocopies.




  1. Provide secretarial support for all faculty and staff located in Cosmas and Damian Hall including filing, typing, word processing, database management, photocopying, receiving messages, handling mail and other tasks as needed.
  2. Coordinate communication within and representing the School of Natural and Applied Sciences. Arrange school meetings and take meeting minutes. Assist the school leader in correspondence, administrative tasks, and special projects.
  3. Receive students, parents, staff, and faculty in the science building and direct all inquiries as appropriate.
  4. Manage building operations including room reservations, physical plant requisitions, purchasing equipment, and preparing AV equipment for classrooms. Update digital directory as needed.
  5. Attend to fiscal needs including purchasing supplies, completing requisitions, submitting monthly purchasing card reports, and reconciling departmental budgets.
  6. Support science lab managers with data entry of supply orders, SWOP positions, and VISA receipts and allocations.
  7. Assist with project management for various academic events including securing locations, advertising, and catering arrangements.
  8. Provide clerical support for the Institutional Review Board (IRB) and Institutional Animal Care and Use Committee (IACUC).
  9. Work with faculty and students to facilitate internship opportunities.
  10. Respond to the needs of Cosmas/Damian faculty and staff as required.

Work Experience

  • Experience in clerical support with in-person customer service experience.
  • Experience in adapting to new technology.
  • Writing/proofreading ability.

  • Communicate accurately and effectively.
  • Ability to work independently to accomplish projects, handle confidential and sensitive material with discretion.
  • Display strong interpersonal skills, work well under pressure, provide professional customer service to all University constituents.
  • Strong project management skills.


Education & Experience

  • Minimum high school graduate, associate degree with secretarial/business emphasis preferred.


Technical Skills

  • Proficient typing ability
  • Demonstrates ability to learn new technology.
  • Strong writing skills, with a preference for candidates who can draft effective proposals.
  • Ability to utilize software including Microsoft Word, Publisher, PowerPoint and Excel, and some familiarity with MAC operating systems.
  • Ability to update SNAS website a plus.
