The Executive Assistant to the Chancellor provides a wide range of complex administrative tasks in support of the Chancellor in his key areas of responsibility: legal counsel, human resources ("HR"), insurance, and child and youth protection ("CYP"). With strong organizational skills and excellent attention to detail, the Executive Assistant manages scheduling, handles correspondence, reviews complex documents, tracks action items, and other key administrative tasks in a dynamic environment. The Executive Assistant, in helping the Chancellor to resolve complex issues, is a person of strong moral character who demonstrates discretion, resilience, and a joy in untying knots for Holy Mother Church. This position is considered ministerial and on the job training is available.
Key Tasks:
- Articulate Catholic teaching with a commitment to its application in the job function
- Act on behalf of the Chancellor with both diocesan personnel and third parties
- Oversee scheduling and calendar management
- Manage and prioritize action items and establish structures of accountability
- Process incoming mail, emails, and phone calls in a professional, charitable manner
- Review and edit complex, detailed documents
- Take minutes for the meetings of various boards and committees
- Process and synthesize complex data into professional reports and presentations
- Oversee the organization of legal documents and related paperwork
- Draft memoranda, correspondence, and other documents
- Schedule travel arrangements and related items
- Oversee the process of sending and receiving letters of suitability for clerics
- Coordinate a variety of meetings and assist with preparation of presentation materials
- Prioritize and manage multiple projects simultaneously in a timely manner
- Handle confidential and sensitive information in an utmost professional manner
- Coordinate with the Director of Child & Youth Protection and with the HR Partner on tasks
- Review and adhere to the Diocesan Personnel Handbook and all other Diocesan policies
- Execute all other duties as assigned
