Position: Advancement Events Manager
FLSA: Exempt (Not eligible for overtime in compliance with local, state, and federal regulations)
Schedule: This full-time position will work from the Florissant, Missouri, campus.
Pay Range: $70,000-$90,000 annually*

Job Summary:
The Events Manager will be accountable for delivering exceptional donor experiences through a variety of events and donor engagement opportunities both on campus and around the country. He or she will assess and conceptualize needs and desires for a variety of Mission Advancement and organization-wide events and meetings while owning all arrangements necessary to execute the desired vision & strategy.

· Consults with organization leadership and manager to assess and understand their needs for the event. Areas of discussion and consultation include staffing, location, catering, signage, programs, music, décor, security, and other specialized requirements.
· Compiles a list of prospective event locations; works with third party event vendors on location requirements, permits, set-up, take-down, and all other event logistics.
· Manages and negotiates contracts with third party partners, including rates, terms, and pricing.
· Ensures that events meet legal, safety, and health requirements and regulations; obtains necessary permits from fire and health departments.
· Develops annual event strategy in conjunction with Mission Advancement and Augustine Institute leadership
· Creates annual and event-specific budgets and reconciles event expenses to ensure costs are accurately estimated and events efficiently executed
· Coordinates transportation and accommodation for speakers and other important parties.
· Evaluates and orchestrates all event logistics including audio visual needs, rentals, valet, name tags, gifts, signs, attendance lists, invitations, RSVP protocols, donation processing.
· Coordinates the registration process for event participants including integration of donor and invitee lists as developed by database management team.
· Manages all administrative duties and details associated with the event including financial operations, distribution of promotional materials, and responding to inquiries.
· Develops and maintains current lists of available venues and services, and pricing options.
· Collaborates with management and internal marketing partners to execute a pre-event and post-event communication plan with attendees and invitees.
· Works with gift officers to understand guest needs and priorities.
· Maintains current knowledge of event planning standards and trends by attending seminars, consulting with other professionals, and reading trade publications.
· Performs other related duties as assigned.
Supervisory Responsibilities:
· Coordinates, oversees, and schedules third party event vendors and events support staff.
· Participates in strategic post-event evaluation and follow-up to ensure development prospects are afforded optimal treatment

· Thorough understanding of legal regulations and permits required for events.
· Proficient with Microsoft Office Suite or related software.
· Ability to understand and navigate event-based software for registration, data entry and reconciliation and tabulation.
· Ability to effectively manage multiple priorities.

Qualifications
· Bachelor’s degree with preference for Hospitality and/or Event Planning degree or related field required.
· 5-7 years of experience in professional event planning or a related field with experience in events from 50 to 300 attendees.
· Must have or be willing attain event planning certification
· Must be able to stand/walk for long periods of time during events and have valid drivers license
· Must be able to work a variety of hours in order to accommodate events.
· Must have the ability to travel approximately 25%. The duration of travel will vary based on the event.
· Must be a fully initiated Catholic in the communion of the Catholic Church and intentionally living out the five precepts of the Church (CCC 2041-2043).
· Must refrain from the promotion of or the living out of, any conduct or lifestyle that would reflect discredit or disgrace on, or cause scandal in relationship to, the Augustine Institute, or considered to be in contradiction with Catholic doctrine or morals.
Physical Demands
· While performing the duties of this job, the employee is regularly required to perform stooping, kneeling, crouching, reaching, standing, walking, lifting, typing and use of office equipment, talking, hearing, seeing, and repetitive motions.

· While performing the duties of this job, the employee will typically work in a climate-controlled office setting.

During the 1993 World Youth Day in Denver, Saint Pope John Paul II called Catholics to a New Evangelization, to renew our commitment to Christ, so that we might live our faith fearlessly and proclaim it to all people.
