Office Manager – Nonprofit Organization (Chicago – Downtown Loop)

Thomas More Society is a not-for-profit, national public interest law firm dedicated to restoring respect in law for life, family, and religious liberty. They defend and foster support for these causes by providing high quality pro bono legal service from local trial courts all the way up to the United States Supreme Court.

 

Position Overview: The Office Manager will be responsible overseeing and coordinating the day to day operations of the firm.  This includes:

  • Providing leadership and guidance to staff
  • Encourage and enable workplace productivity, efficiency, motivation and overall effectiveness
  • Support Senior Management in achieving goals of the office
  • Recruit support staff, including sourcing applicants, interviewing and hiring
  • In coordination with Director of Operations, implement onboarding for all new staff members (i.e., Federal and State tax forms, employee benefits, IT, phones, etc.)
  • Resolve general support staff issues and implement disciplinary actions as needed
  • Maintain physical appearance of office space
  • Train staff, comply with and oversee enforcement of the firm’s policies and procedures
  • In coordination with Executive Vice-President & General Counsel, prepare and administer performance evaluations
  • In coordination with the Director of Operations, ensure the office operates efficiently and effectively including IT, copier, office property management/landlord, firm expansion projects, etc.)
  • Weekly review of employee timesheets for payroll and PTO records
  • Oversee special functions and social events for attorneys and staff
  • In coordination with Director of Operations, formulate disaster and emergency preparedness activities for the office.
  • Perform other duties and special projects as assigned

Qualifications:

  • 3-5 years of office management experience required
  • Law firm management experience preferred
  • Bachelor’s degree in related discipline or equivalent experience
  • Knowledge and skills in managing operations of a 20+ office including hiring, evaluating and developing employees, reviewing office activities to ensure appropriate support services are continually available required

Skills:

  • Proficient Computer Skills including extensive experience in Microsoft Word/ Excel/Outlook/Google
  • Ability to foresee the needs of the law firm as it grows and take action
  • Some knowledge of HR laws
  • Project Management experience
  • Ability to communicate effectively with all levels of the firm, both verbal and written
  • Detail and deadline oriented
  • Excellent decision-making skills and judgment
  • Excellent prioritization, time management and organizational skills
  • Ability to work independently and under strict deadlines
  • Ability to effectively manage the work flow and staff
  • Excellent Oral and Written communication skills
