Receptionist/Administrative Assistant

Reports To: Director of Operations

Summary: Strong teamwork, problem solving, attendance/punctuality and good communication skills, verbally and written. Good working knowledge of Apple computer system; knowledge of Cool Focus client software helpful. Must be highly motivated and comfortable handling multiple tasks.

Expresses full agreement with organization’s Statement of Principal, Mission Statement, Articles of Incorporation and By-Laws.

Education and Experience:

  • High school diploma or general education degree (GED) and at least one-year experience in related field.
  • Ability to read and comprehend simple instructions, short correspondence and memos.
  • Ability to write reports and business correspondence and to effectively present one-on-one and small group situations to clients, donors or other employees of the organization.

Duties and Responsibilities:

  1. Greets patients and visitors in friendly and professional manner.
  2. Answers phone, routes calls and takes messages.
  3. Schedules online and maintains accurate appointment records.
  4. Provides appropriate paperwork and information to patients as indicated by policies and procedures.
  5. Responsible for updating forms as necessary, keeps sufficient copies of paperwork available at all times.
  6. Keeps inventory of all office supplies for the office and reports list of needs to appropriate staff person before the first of the month.
  7. Provide secretarial support to Director of Operations and Nurse Manager as needed.
  8. Responsible for all paperwork for all volunteers and interns.
  9. Keep accurate account of all incoming calls for Heroic Media and provides monthly report by email to Director of Operations.
  10. Must be able to deal with many abstract and concrete variables in multi-task formats often with frequent interruptions.
  11. Performs others duties as requested by CEO and Director of Operations.
  12. May be asked to assist with client services as needed.
  13. Ability to organize, coordinate work efficiently and set priorities.
  14. Full agreement with our governing documents and policies, particularity as to our philosophy and principals expressed therein.
  15. Maintains confidentiality in all aspects including, but not limited to patient identity, care, donor and financial information.
  16. Bilingual helpful.
